Documents Tab

The Documents tab is where you manage all documents associated with an application, including uploaded documents, generated documents, stipulation requirements, and e-signatures.

Tab Overview

The Documents tab is organized into sections:

Uploaded Documents

Document List

Each uploaded document shows:

Viewing Documents

  1. Click the document name or view icon
  2. Document opens in viewer
  3. Use controls to:
    • Zoom in/out
    • Navigate pages
    • Rotate view
    • Print document

  1. Click Generate Documents
  2. Select document type
  3. Review generated document
  4. Send for signature or file

Stipulations

What Are Stipulations?

Stipulations are required items that must be satisfied before loan funding or account opening. They act as a checklist of conditions.

Managing Stipulations

Adding a Stipulation:

  1. Click Add Stipulation
  2. Select stipulation type
  3. Set required/optional
  4. Set due date (optional)
  5. Click Add

Clearing a Stipulation:

  1. Receive document from applicant
  2. Review document
  3. Click Accept if satisfactory
  4. Stipulation status updates automatically

Waiving a Stipulation:

  1. Click Waive on the stipulation
  2. Enter reason for waiver
  3. May require supervisor approval
  4. Document waiver reason
Waiver Approval

Waiving required stipulations may require additional approval. Check your policy.

E-Signature

Sending for Signature

  1. Generate required documents
  2. Click Send for E-Signature
  3. Verify applicant email
  4. Customize message (optional)
  5. Click Send

Monitoring Signatures

  • View signing status in real-time
  • See which documents are signed
  • Receive notifications on completion
  • Download signed documents

Manual Action Buttons

The Documents tab includes several manual action buttons for specific workflows:

Request Documents

Send document request to applicant:

  1. Click Request Documents
  2. Select documents needed
  3. Choose delivery method (Email, SMS, Both)
  4. Customize message
  5. Click Send

Upload Document

Upload documents manually:

  1. Click Upload Document
  2. Select document type
  3. Choose file from computer
  4. Add description (optional)
  5. Click Upload

Send Reminder

Remind applicant of outstanding items:

  1. Click Send Reminder
  2. Review outstanding stipulations
  3. Customize reminder message
  4. Select delivery method
  5. Click Send

  1. Application Submitted - Initial documents collected
  2. Stipulations Assigned - Required docs identified
  3. Request Sent - Applicant notified of needs
  4. Documents Uploaded - Applicant submits docs
  5. Review - Staff reviews documents
  6. Accept/Reject - Documents approved or re-requested
  7. E-Signature - Final documents signed
  8. Filing - Documents archived

Document Tips

For Applicants:

  • Clear, legible scans
  • Complete documents (all pages)
  • Current documents (within 30-60 days)
  • Matching names to application

For Staff:

  • Review promptly
  • Provide clear rejection reasons
  • Follow up on outstanding items
  • Document exceptions

Document Security

Access Control

  • Documents visible only to authorized users
  • Download logging for audit trail
  • Automatic redaction of sensitive data
  • Encryption at rest and in transit

Retention

  • Documents retained per policy
  • Automatic purging after retention period
  • Archive for long-term storage
  • Export before deletion if needed
